Yes, a child can join mid-year, and CBSE has a rule that makes room

In July 2025, CBSE permitted schools to enrol up to 45 students per section rather than 40, in exceptional cases across Classes 1 to 12. The listed exceptions are:

  • transfer of parents, including defence, central government, public sector and private sector employees

  • essential repeat students

  • students with critical medical conditions

  • students shifting from hostels

  • students seeking admission to improve performance

The Board attached conditions:

  • Room size. The classroom must be at least 500 square feet, with one square metre of floor area per child under Clause 4.8.

  • Records. The reason must be recorded in the admission and withdrawal register. For Classes 9 to 12 it must also be recorded at CBSE registration, and details go on the OASIS portal.

  • Hard stop. No school may exceed 45 per section under any circumstances.

In practice: if a school says a section is at 40 and closed, ask whether it can use the parental transfer provision. If the section is at 45, that is a genuine no.

The documents you need, and the one that causes most of the delay

  • Transfer certificate from the previous school. This holds everything up. The school you are leaving issues it and will not release it while fees or equipment are outstanding. Request it in writing before you leave, and ask for a scanned copy so the new school can start processing.

  • The current and previous year’s report cards. The new school needs to know what has been covered, not just the grade.

  • Birth certificate, for age verification.

  • Aadhaar for the child and at least one parent.

  • Bengaluru address proof. A rental agreement is normally fine. Ask what schools accept while you are still house-hunting.

  • Passport-size photographs, and sometimes an immunisation record.

  • Your employer’s transfer letter, if you want the school to apply the parental transfer provision.

Transfer certificate vs migration certificate: which one do you need?

  • A transfer certificate is issued by a school when a student leaves. It records the class, the date of leaving, conduct and usually fee clearance. Every school move needs one.

  • A migration certificate is issued by an examination board. It is needed when a student moves to a different board after sitting a board examination.

A family moving mid-year with a child in Class 3, 7 or 9 needs a transfer certificate and almost certainly not a migration certificate. That question normally arises only after Class 10 or 12, and only when the board changes. If a school asks for a migration certificate for a younger child, ask which board transition it is processing.

The Kannada question nobody warns relocating families about

This is the most important thing to raise before you sign, and most relocating families only discover it in month two.

What the law requires. The Kannada Language Learning Act 2015 makes Kannada compulsory in Classes 1 to 10 as a first or second language, regardless of board. It was phased in from Class 1 in 2015-16. The Kannada Language Learning Rules 2017 and the 2022 No Objection Certificate Rules built out the framework.

The third-language route has closed. For years many CBSE and ICSE schools taught Kannada as a third language under no-objection certificates. In June 2024 the state notified rules requiring them to teach it as a first or second language.

The law is contested. Twenty Bengaluru parents challenged the 2015 Act, the 2017 Rules and the 2022 Rules in the Karnataka High Court. In July 2025 the court asked the state government to respond, so the matter was unresolved at that point. In a separate earlier petition, a division bench observed orally that students from outside Karnataka cannot be compelled to learn Kannada. An oral observation is not a ruling.

Ask every school three questions before you enrol:

  1. Is Kannada taught here as a first, second or third language, and in which grades?

  2. What happens to a Class 6 joiner who has never studied Kannada?

  3. Does Kannada count towards promotion in the child’s first year?

What happens to the part of the year your child already completed

It counts, but how it is handled depends on the grade.

  • Primary. Schools usually place the child in the same grade, treat the old school’s assessments as evidence, and run their own check of where the child is.

  • Middle grades. The risk is the order chapters are taught in, not the content. CBSE prescribes what a year covers but not the sequence, so there is usually a gap of two or three chapters per subject, which targeted support closes.

  • Classes 9 and 10. Ask how Subject Enrichment Activities, Multiple Assessments and practical marks from the old school will be carried over, because they count towards the final result.

The support a mid-year joiner needs in the first term

A mid-year joiner usually has three gaps:

  • the syllabus order gap described above

  • a language gap, often Kannada

  • a social gap, which usually closes faster than parents fear

Ask each school:

  • Who identifies what this child has not covered, and by when?

  • Does catch-up support happen during school hours?

  • Is there a named person the child can go to?

Check the Class 1 age rule if the move changes the grade

Karnataka requires a child to have completed six years by 1 June to be in Class 1. A child legitimately in Class 1 under another state’s cut-off can fall below Karnataka’s, and the new school will apply the Karnataka rule.

Mandatory:

  • Fees for the rest of the year. Ask whether the term you join is charged in full or pro-rated.

Optional:
